Welcome to TheAdvanced, an exclusive professional community. These Event Terms and Conditions ("Terms") govern your registration for and attendance at TheAdvanced events, including, but not limited to, conferences, in-person training, online training, webinars, and other virtual or in-person events (together, “Events”). By registering for or attending an Event, you agree to comply with and be bound by these Terms. If you do not agree to these Terms, please do not register for or attend the Event.
1 Applicability of Terms to Events.
These Terms apply to all TheAdvanced events, including, but not limited to, conferences, in-person training, online training, webinars, and other virtual or in-person events (together, “Events”). To register, you must acknowledge and accept the Terms contained herein. Should you not wish to accept the Terms, you will not be able to register for the Event.
2 Use of Personal Data.
The TheAdvanced Privacy Notice explains how we process your personal data in relation to Event registrations. A valid email address is required for all registrations. TheAdvanced uses the personal data you provide during registration for administering your participation in the Event. By submitting your email address during the Event registration process, you agree that TheAdvanced and its event partners may send you event-related information, to the extent permitted under the applicable law. This may include information about the Event’s content, event logistics, payment, updates, and additional information related to the Event.
TheAdvanced may also disclose your personal data to third party service providers engaged by TheAdvanced to assist in providing the Event. Information you provide when registering for or participating in an Event managed or co-sponsored by parties other than or in addition to TheAdvanced may be shared with those parties and the treatment of such information is further subject to the privacy policies of those parties.
Event Leaders. Each Event is organized by a volunteer circle or nexus leader within the TheAdvanced community (a community volunteer, not a PROXC LLC employee or contractor). That leader may view your name, RSVP status, and party size for the Event(s) they organize, in order to coordinate attendance and event logistics, including whether you have indicated a photography opt-out. Leaders do not see your email address, phone number, dietary or accessibility information, or any other registration details; those remain visible only to TheAdvanced staff administering the Event.
3 Non-discrimination.
TheAdvanced prohibits discrimination, harassment, and bullying against any person for any reason, for example because of age, ancestry, color, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran status, or any other characteristic protected by law. Participants at Events are expected to treat all Event participants, staff, vendors and others with tolerance and respect at all times, and to contact TheAdvanced staff in the event of any issues or concerns.
4 Liability Waiver and Release.
In consideration of being allowed to register for, and participate in the event, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue TheAdvanced or its members, employees, directors and officers, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of TheAdvanced. This liability waiver and release is specifically binding upon your heirs and assigns and is knowingly given.
5 Event Speakers.
If you agree to speak at an TheAdvanced Event, in compliance with applicable laws, we may share your contact and biographical information with Event attendees. Sometimes we may also request a photograph. In other cases, we post on the respective Event website information such as your name, employer, physical work address, work email address, as well as a link to your company website and/or professional network page available to the public. Additionally, speakers may be asked to complete a release agreement or copyright form prior to their presentation.
TheAdvanced also maintains a single internal record of your relationship with TheAdvanced (for example, if you have also registered as an attendee, made a nomination, or applied for or held a TheAdvanced membership) so that TheAdvanced staff administering Events and community programs can see that relationship in one place. This internal record is visible only to authorized TheAdvanced personnel and is not shared with Event attendees, sponsors, or the public beyond what is otherwise described in this Section 5.
6 Badge Scanning.
At some TheAdvanced Events, co-sponsors, exhibitors and other third parties may directly request your personal information at their exhibit booths or presentations. Providing your information to them is optional, and you should review their privacy policies to address your needs and concerns about how they will treat your personal information. If during the event you attend a session or program hosted by an exhibitor other than TheAdvanced, you understand and agree that when you present your badge for scanning or when you provide personal data, that data will go to a non-TheAdvanced entity and TheAdvanced takes no responsibility for how that company uses your personal data.
7 Photography and Recordings.
TheAdvanced events include photography and videography as a standing feature of attendance. Professional photographers and videographers, whom TheAdvanced may engage as service providers, capture images and video throughout the Event, and TheAdvanced staff and volunteers may do the same. If you do not want to be photographed or recorded, please do not register for or attend the Event.
By registering for and attending the Event, you authorize TheAdvanced to photograph and/or videotape you, and you grant TheAdvanced a non-exclusive, royalty-free, worldwide license to use, reproduce, edit and distribute the resulting photographs, video, video clips, highlight reels and event teasers (together, "Event Media") without remuneration to you. You waive any right to inspect or approve finished Event Media before use. This authorization and license are given as a condition of attendance, and are separate from, and not conditioned on, any consent that data protection law may otherwise require to be optional and freely revocable; TheAdvanced’s basis for processing your image and likeness under such laws is described below.
TheAdvanced may use Event Media for marketing and promotional purposes related to TheAdvanced and its future events, including on TheAdvanced’s website, TheAdvanced’s own social media channels, in video content (including edited clips, highlight reels and event teasers), and in printed materials. Event Media may also be shared with TheAdvanced’s event partners and sponsors, including within private partner portals, for the purpose of describing the Event and its audience.
Where you can be identified in Event Media, TheAdvanced processes your image on the basis of its legitimate interests in documenting, promoting and reporting on its events (and, where applicable, those of its partners and sponsors), weighed against your interests and rights. You may object to this processing at any time: indicate this when you register, or contact us afterward at [email protected] identifying yourself and the Event, and we will not knowingly use Event Media in which you are identifiable going forward. This does not extend to Event Media already published before your objection is received, which TheAdvanced will remove or blur on request where reasonably practicable.
TheAdvanced may hire professional service providers (photo, video, streaming or audio) to document and display the Event experience, and may use social media to post real-time photos and video from the Event. Attendees and sponsors are also encouraged to capture their own event experiences and post their own social content from the Event, provided it does not infringe upon the rights of any attendee, sponsor, third party, or TheAdvanced, including through defamation or infringement of intellectual property rights. An attendee capturing and posting their own content is solely responsible for obtaining any release or permission needed to protect the rights of a third party depicted in it; TheAdvanced’s objection process above governs TheAdvanced’s own use of Event Media and does not extend to another attendee’s personal recordings or social posts, for which TheAdvanced disclaims all liability.
By attending the Event, and to the extent permissible under applicable law, you further acknowledge and agree that: (a) TheAdvanced may edit and use Event Media it captures for marketing and promotional activities and for any other lawful purpose in the ordinary course of its business; and (b) due to the prevalence of personal recording devices, TheAdvanced disclaims all liability for the capture of your image in any multimedia format by other attendees at the Event.
8 Session Availability.
Your Event registration provides access to certain sessions based on your attendee profile and registration package. Session admission is also subject to venue capacity. You Event registration does not guarantee access to any sessions.
9 Attendee Conduct.
You agree to abide by all fire, safety, and health regulations of the local, city, state, hotel, convention centers and health screening vendors where the Event is held. You must comply with all applicable federal, state, and local ordinances, as well as TheAdvanced policies and procedures. You understand and agree that attendees who violate such rules or policies, and/or behave in an unsafe or careless manner while attending the Event may be denied entry and/or asked to leave immediately. You acknowledge that such violations may result in your removal from the Event and You may be barred from returning without any registration fee refund. Illegal, disruptive or dangerous behavior that interferes with the Event, or anyone else’s health or safety, is strictly prohibited.
